Notifications in MindStaq

Overview

Notifications in MindStaq help you stay updated about activity happening across your projects, tasks, issues, and messages. These notifications ensure that you do not miss important updates that require your attention.

Summary

MindStaq sends notifications for three main reasons:

  1. Project Task/Issue Message Activity

    • New messages, replies, and discussions

    • Notifications for users assigned as Owner/Reviewer

  2. Direct Messages and Group Chats

    • New private messages

    • Group chat activity

  3. Task/Issue Action Updates (From Edit Modal)

    • Status reports

    • Requests for more time

    • Re-assignments

    • Other workflow actions with "Send Message" enabled

Additionally, @mentions trigger direct notifications to the tagged user across supported messaging contexts.

Where Notifications Appear

Notifications appear in two places:'

1. Bell Icon (Top Navigation Bar)

All unread notifications are shown under the bell icon at the top of the screen.
A badge indicates the number of new notifications.

2. In-App Messaging Panels

For message-related notifications (DMs, project channels, task/issue threads), you will also see unread message indicators directly inside the Messages module.

Types of Notifications in MindStaq

MindStaq currently sends notifications for the following activity:

1. Messages on Tasks and Issues

You receive notifications when:

  • Someone sends a message on a task or issue in a project you are part of.

  • Someone replies within a task/issue message thread.

  • You are the Owner or Reviewer of the task/issue.

These notifications help you track progress updates, replies, discussions, and follow-ups happening on work items you are involved in.

2. Direct Messages (DMs)

You receive notifications when:

  • Someone sends you a Direct Message (1:1 chat).

  • Someone sends a message in a DM Group Chat that you are part of.

DM notifications are private and are only visible to participants of that conversation.

3. Status Updates Triggered From Task/Issue Actions

Certain actions in the Task or Issue Edit modal automatically generate notifications if the Send Message option is enabled.

How It Works

  • When you perform actions such as Report Status, Request More Time, or Re-Assign, the modal includes a Send Message checkbox.

  • If checked, MindStaq automatically sends a notification with the related update to all the members of that project.

  • This helps ensure project members stay informed about important task or issue changes.

Default Behavior

  • For certain actions, the Send Message option is always enabled and cannot be turned off.

  • This ensures important updates always notify relevant members.

Actions With Fixed 'Send Message' Behavior (Cannot Be Changed)

Tasks

  • Request More Time

  • Get Status Update

  • Re-Assign Task

Issues

  • Get Status Update

  • Re-Assign Issue

Whenever these actions are performed, a notification is automatically sent to the required users (for example, task assignees, reviewers, or project members depending on context).

Understanding Notifications Triggered From Edit Modals

When updating a task or issue using the Edit modal, several actions may send notifications depending on the selected options.

Example: Report Status

When you click Report Status, you can update the progress bar and optionally include a message.

  • If Send Message is checked, the status update is posted to the project channel.

  • Project members will receive a notification about the updated progress.

This behavior ensures the team is aware of changes without needing to manually send updates.

Email Notifications

MindStaq also sends email-only notifications for specific events.
These notifications do not appear inside the MindStaq app. They are delivered only to your registered email inbox.

Email Notification Types

MindStaq currently sends the following email notifications:

  • Weekly Task Report
    A summary of pending, in-progress, and upcoming tasks for the week.

  • Resource Utilization Report
    A breakdown of work distribution across team members.

  • Project Summary Report
    A high-level overview of project progress, issues, and milestones.

  • Task Assigned Notification
    Email sent when someone assigns a new task to you

These email notifications ensure you stay informed even if you are not actively using the MindStaq app.
