How-to Use Messaging Channels

Messaging Channels are dedicated, project-specific spaces that centralize and streamline all team communications. Designed to keep conversations organized and accessible, these channels empower your team to collaborate efficiently, make informed decisions, and maintain a clear record of project history.

1. Accessing Messaging Channels

  • Automatic Channel Creation:
    Every time a new project is created, MindStaq automatically generates a messaging channel for it. No manual setup is required, your team always has a space for communication from day one.

  • Where to Find Channels:
    All project channels are listed in the left sidebar under the MESSAGES section. Select a project name to open its dedicated channel.

2. Collaborating in Project Channels

  • Centralized Discussions:
    Use the channel to post updates, ask questions, share decisions, and keep all project communications in one place. This reduces fragmentation and keeps everyone on the same page.

  • Contextual Conversations:
    Link messages directly to specific tasks or issues so discussions remain relevant and easily traceable within the project context.

  • Inclusive Collaboration:
    All team members assigned to the project can participate in the channel, ensuring everyone can contribute, ask questions, and stay informed.

3. Using @Mentions

Where @mentions are available

@mentions work in the following messaging areas:

  • Project Messaging Channels

  • Task/Issue-Specific Chats

  • DMs Group Chats

How @mentions work

  • Type @ in the message field to open the list of members.

  • Select the name of the user you want to notify.

  • The user will receive a notification and can quickly navigate to the message.

  • Note:

    • In Project Channels and Task/Issue Messages, the list will only display members assigned to that project.

    • In DM Group Chats, the list will display only members included in that group conversation.

Using @mentions helps improve visibility, ensures follow-up, and reduces the chances of messages being overlooked.

4. Organizing Communication with Tags and Threads

  • Customizable Tags:
    Apply tags such as “Meeting Notes,” “Status Reports,” or “Decisions” to any message. These tags make it easy to organize, retrieve, and filter conversations.

  • Filtering by Tag:
    Use the tag dropdown to instantly filter messages by tag, allowing you to quickly find important updates, historical notes, or past decisions.

  • Threaded Discussions:
    Reply directly to any message to start a thread. Threads help keep conversations organized by topic or task, so you can follow specific discussions within a busy channel.

5. Sharing Files and Attachments

  • Upload Documents:
    Attach files, documents, or links directly within any channel message. This centralizes all relevant project materials for easy reference and collaboration.

Tips for Effective Use

  • Use tags for every key update or decision to make information easy to find later.

  • Group related discussions in threads to keep the main channel clear and organized.

  • Filter messages by tags when searching for past meeting notes, approval decisions, or status updates.
