How-to Use Task Management

Updated this week

This guide covers the available task creation methods, how to use subtasks, and how to group tasks for better organization.

Task Creation Methods

There are several ways to add tasks to your projects, making it easy to tailor your workflow:

  • Manual Creation

    • Click the Add Task button in your project or task list view.

    • Enter details such as the task name, assignee, due date, and any other relevant information.

    • Save the task to add it to your project.

  • AI-Assisted Creation

    • Use the AI Assistant to automatically generate a list of tasks and sub-tasks based on your project’s context and title.

    • Review the suggested tasks and confirm to add them to your project, reducing manual effort and improving accuracy.

  • Bulk Insert

    • Switch to the List View in your project workspace.

    • Use the bulk insert option to paste multiple tasks at once in a simple text list format.

    • Each line will be added as a new task, streamlining the process for large task imports.

Working with Subtasks

  • Adding Subtasks

    • Any task can have one or more child subtasks.

    • Expand a parent task to reveal its subtasks directly beneath it.

    • Subtasks can be named, assigned, and dated individually.

  • Timeline Integration

    • When you move a parent task in the timeline (Gantt chart), all its subtasks automatically move with it, ensuring schedules stay aligned.

Organizing Tasks with Grouping

  • Creating Task Groups

    • Organize related tasks under higher-level summary tasks groups.

    • Indent tasks beneath a summary task to create a collapsible/expandable group.

    • This helps manage complex projects by allowing you to collapse or expand sections as needed.

  • Managing Groups

    • Use groups to break down large projects into phases, modules, or workstreams.

    • Collapse groups to declutter your view or expand them to focus on specific work areas.
