How-to Use Backlog Management

Backlog Management in Agile Projects module gives teams a clear, visual system to organize, prioritize, and track work items efficiently throughout the project lifecycle. Here’s how to make the most of this feature:

1. Navigating the Backlog View

  • Columns for Work States:
    The Backlog is divided into columns representing different states:

    • Not Started

    • In Progress

    • Completed

    • Backlog

  • Epics & Stories Panel:
    On the left, view a hierarchical breakdown of major deliverables (Epics) and their associated stories and tasks. This helps you visualize dependencies and monitor progress at both high and detailed levels.

2. Filtering and Sorting Your Backlog

Efficiently focus on relevant tasks using these tools:

  • Sprint Filter:
    Use the All Sprints dropdown to display tasks for a specific sprint or across all sprints.

  • Show All Dropdown:
    Apply time-based or status-based filters, such as:

    • Today, This Week, Next Week, Last Week

    • This Month, Next Month, Last Month

    • All Stale (tasks not updated recently)

    • All Overdue (tasks past due)

    • Show All (see every task regardless of status or date)

  • Owner Filter:
    Filter tasks by owner to quickly see work assigned to specific team members.

  • Sort By Dropdown:
    Organize your backlog by:

    • WBS (Work Breakdown Structure): for hierarchical order

    • Title: alphabetical sorting

    • Due Date: prioritize upcoming deadlines

    • Owner: group by assignee

    • Status: cluster tasks by progress state

3. Managing and Updating Backlog Items

  • Drag and Drop:
    Move tasks between columns (e.g., Not Started to In Progress) as work progresses.

  • Quick Actions:
    Edit task details, assign owners, or update due dates directly from the task card for fast updates.

  • Visual Indicators:
    Overdue and stale tasks are clearly marked, helping you address bottlenecks promptly.

  • Progress Bars:
    Each task displays a completion percentage, so you can track progress at a glance.
